Who processes your personal data?

Landcommanderij Alden Biesen processes your personal data. In this privacy statement, we use the personal pronoun "we" to refer to Landcommanderij Alden Biesen. Landcommanderij Alden Biesen is responsible for the processing of your personal data as described and explained in this statement. We only process personal data and allow it to be processed only when necessary to perform the tasks assigned to us. We always process data in accordance with the provisions of the General Data Protection Regulation (GDPR) and with the provisions of federal and Flemish regulations on the protection of natural persons in the processing of personal data. When do we collect and process your personal data?

We collect and process your personal data when you request one of our services or contact us regarding the services we provide. We may also process your personal data if you ask us a general question.


What data do we process about you?

We process your personal data. This is the data that identifies you or that creates a connection with you as a natural person. The specific data we process depends on the services we offer and provide. We only request data that is necessary for our operations. In addition, we process your identification data so that we can provide our service to you.


How do we collect and process your personal data?

We use two methods to obtain your personal data. We can request data directly from you in a form or in documents that you must attach to a form. In addition, we (in rare cases) request data from other government agencies that already have it. We always comply with the provisions regarding the protection of natural persons in the processing of personal data, which are established at the federal or Flemish level where applicable.


Why do we process your personal data?

We process your personal data to disseminate Alden Biesen news and to provide a service you request from us: http://www.kunstenenerfgoed.be/nl/wie-zijn-we/eigeninstellingen/alden-biesen. We also process your personal data for our public interest tasks as set out in the Cultural Heritage Decree of 24 February 2017 (http://www.kunstenenerfgoed.be/nl/wat-doen-we/subsidies-cultureel-erfgoed).


We may process data for non-public law tasks if you give explicit consent, if such processing arises from a contract you have concluded, or if we have a legitimate interest in doing so. We will then explicitly state the basis on which we process this data.

How long do we retain your personal data? As a general rule, we may only retain your personal data for the period necessary to provide certain services. We therefore retain your data for as long as you use our services. After that, we retain your data for the period in which we must be able to justify the services provided. This period is 5 years. After this limitation period, the data will be deleted unless it is of historical, cultural, or public interest.


When retaining your data, a distinction is made between the period during which your file is active and the period during which it becomes passive. Your file remains active as long as you use the service provided. All employees who need your data to perform their duties then have access to it. After that, your file becomes passive, and only a limited number of employees of the competent department have access to your data.


Do we share your personal data with others?

Your data is primarily processed internally by our employees. We may engage third parties to process your data for certain specific services. We provide your data to these processors, but only to provide the service in question. Sometimes we are legally or legally obligated to share your personal data, or government agencies have the right to request data from us. They must have authorization to do so.


Is your personal data transferred outside the European Union?

We do not transfer your data to countries outside the European Union or international organizations. These are countries or organizations located outside the European Economic Area (European Union + Iceland, Norway, and Liechtenstein). We may do so if we use a cloud service provider. In that case, we take all possible measures to ensure that your data is protected as stipulated in European, federal, and Flemish regulations.


What are your rights?

If we process your personal data in the public interest, you can object to the processing of your data at any time. We will then consider whether your individual interests outweigh the public interest we pursue with the processing. If we are no longer permitted or able to process your data, we will also no longer be able to provide you with the service or benefit you are entitled to.


You can always review the data we process about you and, if necessary, have it corrected. To do so, you can contact the data controller at Alden Biesen, Tamara Broeders, at tamara.broeders@vlaanderen.be. We will then ask for proof of your identity to ensure your data is not shared with anyone who is not entitled to it. You can also contact this person if you believe your data is no longer relevant and should therefore be deleted.


If you disagree with how we process your data, you can contact our data protection officer (Tamara Broeders). You can also contact this person if you wish to file a complaint.
